2020 indeed brought new ways of doing things. Among them, it changed the way we work. We started to receive 2 or 3 times the amount of emails we received before. We receive chats on WhatsApp, Telegram, Teams, and Google Chat, not counting the ongoing meetings on Zoom and Skype.
With automation, we want our teams to have more time to dedicate to activities that generate value for them.
Our teams dedicate a few hours a week to operational activities that do not generate value in this new business environment. Therefore, the strategy of automating processes takes more force. Especially when we have technological tools that allow us to implement these improvements in our operations, such as Microsoft Flows (included in all business Office365 plans).
An example: During my experience leading the Formalization of norms and structures team in a local financial institution. I found that the coordination for publishing all the bank’s normative documents was carried out by email. At some point, it was a solution that worked. However, this process no longer supported the volume of updates for the entire organization.
Although there are multiple solutions for knowledge management in organizations, the vast majority have a high cost and require additional infrastructure, making their implementation difficult.
Using SharePoint as a data repository helped us build an ecosystem. Lists with all the necessary information such as document names, version number, change control, document owners, publication dates, and validity. As a result, we could manage our documents in a decentralized and easy way.

In addition to the construction of a very complex content base, that allowed us to manage knowledge of the group. One of the improvements that this implementation brought with its drastic reduction in the generation time for reports to the Board of Directors and regulatory agencies. We went from 5 days to 2 hours with 100% accuracy every month.
Although process automation should be part of an organization’s digital transformation strategy. It is helpful to understand what generates value for our team. Freeing themselves from repetitive activities that decrease their productivity. With a clear goal in mind, to free up time to create more value for their own development and the organization’s benefit.
